1. Who we are
This website and the corporate services described on it are operated by Zensory Blankets Ltd, trading as Zensory. Zensory Blankets Ltd is registered in England and Wales under company number 15543687. Its registered office is 1 Vale Grove, Bromsgrove, England, B60 3GE.
For personal information covered by this notice, Zensory Blankets Ltd is normally the data controller. You can contact us at hello@zensory.co.uk.
2. What this notice covers
This notice covers personal information used in connection with:
- this corporate website and its contact form;
- enquiries, proposals and business development;
- consultancy, environmental reviews, design support and training;
- sensory accessibility assessment and accreditation;
- the Zensory Trusted Specialist Network;
- professional events, communications and marketing where you have chosen to receive them; and
- the administration, security and improvement of these activities.
3. Information we may collect
Depending on how you work with us, we may collect:
- your name, email address, telephone number and postal address;
- your organisation, role, location and professional contact details;
- the content of enquiries, correspondence, meeting notes and project communications;
- information about a venue, service, audience or sensory accessibility objective;
- assessment evidence, observations, reports, action plans and accreditation records;
- contract, proposal, invoicing and payment administration information;
- professional qualifications, experience, biography and service information supplied by members or prospective members of the Trusted Specialist Network;
- your communication and marketing preferences; and
- limited technical and security information, such as an IP address recorded in normal server logs or used briefly to prevent contact-form abuse.
Sensitive information
Sensory accessibility work can sometimes touch on health, disability or neurodiversity. Please do not send detailed medical information through the general contact form. Where a project genuinely requires special category personal information, we will define why it is needed, minimise what is collected and identify an appropriate legal condition before processing it.
Where an organisation provides information about its employees, visitors, service users or other people, that organisation is responsible for ensuring it is entitled to share the information. Wherever practical, assessment evidence should be anonymised or aggregated.
4. Where information comes from
Most information comes directly from you. We may also receive relevant information from:
- your employer, organisation or project lead;
- a venue owner, operator or commissioning organisation;
- a Trusted Specialist Network member involved in an agreed project;
- professional advisers or suppliers; and
- public professional sources, where appropriate and proportionate.
5. Why we use information and our lawful bases
We use personal information only where we have a lawful reason. Depending on the circumstances, we rely on:
- Steps before entering a contract and performance of a contract, to prepare proposals, deliver agreed services, administer accreditation and manage project relationships.
- Legitimate interests, to respond to business enquiries, manage professional relationships, coordinate suitable specialists, protect our services, maintain records and develop Zensory's work. We consider the effect on individuals before relying on this basis.
- Consent, where you actively choose to receive email marketing or where consent is the appropriate basis for a particular use. You may withdraw consent at any time.
- Legal obligation, where we must keep or disclose information to comply with tax, accounting, regulatory or other legal requirements.
- Legal claims, where information is necessary to establish, exercise or defend legal rights.
We do not use personal information for solely automated decisions that have legal or similarly significant effects.
6. Consultancy and accreditation
We use project contact details, communications and assessment information to understand the brief, plan and deliver work, produce recommendations, make accreditation decisions, maintain an audit trail and support continuous improvement.
Reports may refer to roles, teams or observations about how a space is experienced. We aim to avoid naming individuals unless this is necessary and agreed. Accreditation records may be retained to demonstrate the basis of an award, renewal, suspension or withdrawal.
7. The Trusted Specialist Network
We use network members' professional details to assess suitability, coordinate opportunities, introduce relevant expertise and administer work. Where a specialist may support a project, we share only the information reasonably needed to consider or deliver that work.
A proposal will normally explain whether a specialist is engaged by Zensory as a supplier or contracted separately by the client. A specialist who contracts directly with a client will be responsible for their own privacy obligations for that work.
8. Who we share information with
Where necessary, information may be shared with:
- employees and authorised representatives of Zensory;
- Trusted Specialist Network members and other carefully selected subcontractors involved in an agreed project;
- website hosting, email, document storage, communications and business administration providers;
- accountants, insurers, lawyers and other professional advisers;
- a commissioning organisation or project stakeholder where this is part of the agreed service; and
- regulators, courts, law enforcement bodies or other parties where disclosure is required by law.
We do not sell personal information.
9. International transfers
Some technology or communications providers may process information outside the United Kingdom. Where this happens, we require an appropriate safeguard recognised by UK data protection law, such as UK adequacy regulations or approved contractual protections.
10. How long we keep information
We keep information only for as long as it is reasonably needed for the purpose for which it was collected, including legal, accounting and professional record-keeping requirements. Our normal guide periods are:
- general enquiries that do not become a project: up to 24 months after the last meaningful contact;
- consultancy, training and accreditation project records: normally six years after the work or accreditation relationship ends;
- network due-diligence and engagement records: while the relationship is active and normally six years afterwards;
- marketing records: until you withdraw consent or object, with a minimal suppression record retained so we can respect that choice; and
- routine technical and security logs: normally no longer than 90 days, unless needed to investigate misuse or a security incident.
We may keep anonymised information that can no longer identify a person.
11. Cookies and website measurement
This corporate website uses Zensory's self-hosted Matomo installation to measure visits and understand how the site is used. Matomo is configured through the website code not to place analytics cookies. It may process technical information such as the pages visited, time of access, referring page, browser or device information and IP address. This information is used only for website measurement and improvement.
The contact form uses a short-lived server-side anti-abuse check without placing a cookie on your device. The site does not use advertising pixels.
External services linked from this site, including Shopify and social media platforms, may use their own cookies and collect information under their own notices.
12. Security
We use proportionate organisational and technical measures to protect personal information. Access is limited to people who need it for an authorised purpose. No internet or email system can be guaranteed completely secure, so please avoid sending unnecessary sensitive information by email or through the contact form.
13. Children
This corporate website is intended for organisations and adults acting in a professional or purchasing capacity. We do not knowingly invite children to submit personal information through it.
Some consultancy or accreditation projects concern services used by children. In those projects, the commissioning organisation remains responsible for its own lawful handling of children's information. Zensory will seek to use anonymised or aggregated information wherever practical and will agree any necessary safeguards before identifiable information is shared.
14. Your rights
Depending on the circumstances, you may have rights to:
- be informed about how your information is used;
- request access to your personal information;
- ask for inaccurate or incomplete information to be corrected;
- ask for information to be erased or its use restricted;
- object to processing based on legitimate interests or to direct marketing;
- receive certain information in a portable format; and
- withdraw consent at any time where processing is based on consent.
These rights are not absolute and the right available can depend on the lawful basis and context. To exercise a right, email hello@zensory.co.uk. We may ask for information needed to confirm your identity.
15. Marketing
We will send marketing emails to an individual only where we have an appropriate legal basis. Where you have opted in, you can withdraw that consent at any time by contacting us or using an unsubscribe option in the message. Withdrawing from marketing does not stop necessary communications about an enquiry, contract, project or accreditation.
16. Questions and complaints
Please contact hello@zensory.co.uk if you have a question, wish to exercise a right or want to make a data protection complaint. Please clearly state that your message concerns data protection. We will acknowledge a complaint within 30 days, investigate it appropriately and communicate the outcome without undue delay.
You may also complain to the Information Commissioner's Office. Information about doing so is available at ico.org.uk/make-a-complaint. We encourage you to contact us first so we have an opportunity to address the concern.
17. Changes to this notice
We may update this notice as our services, suppliers or legal obligations change. The date at the top shows when it was last updated.
